How to Connect Your AI Assistant to Your Brand
A brand connector lets your AI assistant read your brand's data across the POSaBIT stores you supply: sell-through, stock sitting at each retailer, deliveries, purchase orders, and your catalog. Connecting takes about a minute: you copy one POSaBIT address into your assistant, sign in on POSaBIT's login page, and choose your brand.
Connecting a store or a merchant account instead? See How to Connect Your AI Assistant to Your Store or How to Connect Your AI Assistant to Your Merchant Account.
Before You Start
- You need a POSaBIT login with access to your brand (vendor) account in the Brand Portal.
- Your assistant will have the same permissions as your Brand Portal employee groups. For example, if your groups don't include Read on Retailers or a sales report, your assistant can't use that data either.
- Your account must be on an active subscription. If your free trial has ended, the connector's report tools are turned off.
- You need an AI assistant that supports custom MCP connectors, such as Claude or ChatGPT.
Step 1: Check Your Brand Portal Employee Groups
Every brand account starts with two built-in groups:
- Managers: Read and Manage access to everything.
- Staff: read-only access to everything, with no Manage access.
Both give a connector access to all of your brand's data. If an admin has placed you in a custom group, your assistant only sees the sections that group can read, such as Retailers, Inventories, Lots, Manifests, Purchase Orders, the sales reports, and the Product Catalog. If you belong to more than one group, your access adds together.
To review groups, a Brand Portal admin can open Settings > Employee Groups. See Brand Portal Employee Groups Overview.
Step 2: Copy the Connector Address
- Login to the POSaBIT web portal - https://app.posabit.com
- Open your Brand Portal.
- Navigate to Settings and select AI Connectors.
- In the Setup Instructions section, copy the POSaBIT connector address. You will paste this into your AI assistant in the next step.
Step 3: Add the Connector to Your AI Assistant
Claude (individual Pro or Max plan)
- In Claude, open Settings and select Connectors.
- Select Add custom connector.
- Enter a name, such as POSaBIT – [Brand Name], and paste the connector address from Step 2.
- Select Add, then select Connect next to the new connector.
Claude (Team or Enterprise plan)
- An owner of your Claude organization must first add the connector under Admin settings > Connectors, using the address from Step 2.
- Once it has been added, each team member opens Settings > Connectors and selects Connect next to the POSaBIT connector.
- If the connector doesn't appear after your admin adds it, log out of Claude and log back in, or fully restart the Claude desktop app.
ChatGPT and other AI assistants
- Look for the option to add a custom connector or MCP server in your assistant's settings, then paste the connector address from Step 2.
- Your assistant must support custom MCP connectors. Some assistants only offer this on certain plans or require an admin to enable it.
Step 4: Sign In and Choose Your Brand
- After you select Connect, your assistant opens a POSaBIT sign-in page.
- Sign in with your normal POSaBIT login. Your assistant never sees or stores your password.
- Choose your brand. If your login also has access to a store or merchant, make sure you pick the brand. The connector is locked to the account you choose and cannot reach any other.
- Confirm to finish. You will be returned to your assistant, and the connector will show as connected.
Step 5: Ask Your First Question
- Start a new chat, make sure the POSaBIT connector is turned on, and ask about your brand, for example: "Which of our retailers sold through our products fastest last month?"
- See AI Connector Example Prompts for more brand prompts.
Which Stores Your Brand Connector Can See
- Only POSaBIT stores that your brand supplies and that allow their data to be shared with brands.
- Only data about your own products. A brand connector can narrow a report to some of your retailers, but never widen it beyond them.
- Never retailers' customer names, contact details, or demographics, or card data.
Good to Know
- Your connection stays signed in for two days at a time and renews automatically while you use it.
- A connector that goes unused for 15 days is disconnected automatically. To reconnect, repeat Steps 3 and 4.
- Changes to your Brand Portal employee groups apply on your assistant's next request.
- Brand connectors are read-only. Your assistant can draft a reorder list or spreadsheet, but it can't create purchase orders or change anything in POSaBIT.
