How to Change a Package Tag if One Is Physically Lost (OR Metrc)
How to Change a Package Tag if One Is Physically Lost (OR Metrc)
Summary
If a package tag is physically lost, the inventory should be moved onto a new Metrc package tag so the active package in Metrc reflects the replacement tag. In Oregon Metrc, tags must first be ordered and received before they can be used, and locations are required for inventory tracking.
After the new package tag is established in Metrc, update POSaBIT so the active package and tag information match.
Applies To
- Oregon Metrc
- POSaBIT Inventory
- Retailers using Metrc-integrated inventory workflows
Before You Begin
Before starting, make sure you have:
- The affected package identified
- A new, unused Metrc package tag available
- Access to Metrc and POSaBIT
- The ability to update inventory records in both systems
Important: Metrc tags must be ordered and marked as received before they can be used. Metrc’s Oregon guide also notes that inventory cannot be added or tracked until tags are available and received.
Part 1: Update the Package Tag in Metrc
Step 1: Confirm You Have an Available Package Tag
If you do not already have an unused Metrc package tag available, order one in Metrc under Admin > Tag Orders. The Oregon guide shows that facilities should order RFID package tags through the Admin section, and that tags cannot be used until they are physically received and marked Receive in Metrc.
If you already have unused tags on hand, continue to the next step.
Step 2: Move the Inventory to a New Package Tag
Once a replacement tag is available, move the inventory onto a new active package in Metrc using the appropriate Oregon Metrc workflow so the inventory is associated with the new tag.
When completing a package-related workflow in Metrc, the package must be assigned a package tag, and the package should be recorded with the correct quantity and location. The Oregon Metrc materials also note that locations are required in Metrc to begin recording inventory.
When creating the replacement package in Metrc, confirm:
- The correct quantity is entered
- The new package tag is assigned
- The correct package location is selected
- Any other required package details are completed
Step 3: Verify the New Package in Metrc
After the replacement package has been created, confirm that:
- The new package tag is active
- The quantity is correct
- The package is assigned to the correct location
- Your team has recorded the new package tag number internally
At this point, Metrc should reflect the inventory under the replacement tag.
Part 2: Update the Package in POSaBIT
Once the new package tag has been created in Metrc, update POSaBIT so the package information matches the replacement package now being used in Metrc.
Step 1: Sync Metrc Data into POSaBIT
Allow a few minutes for the Metrc change to process, then run your normal Metrc sync workflow in POSaBIT.
If the new package does not appear immediately, wait a few minutes and sync again.
Step 2: Confirm the Correct Package in POSaBIT
Once the replacement package appears in POSaBIT, verify that it is linked to the correct product and that the package details match the new Metrc package.
Review:
- Package tag
- Quantity
- Product assignment
- Package status
Step 3: Stop Using the Old Tag
After the replacement package has been synced into POSaBIT, do not continue using the lost package tag in either system.
Your active inventory should reference only the replacement package tag going forward.
Verify Everything Matches
After the update is complete, review the package in both Metrc and POSaBIT to confirm:
- The replacement tag matches in both systems
- The quantity is correct
- The product assignment is correct
- The old/lost tag is no longer being used
It is also a good idea to review discrepancy reporting in POSaBIT to make sure both systems remain aligned.
Common Issues
The replacement package does not appear in POSaBIT
Wait a few minutes and sync again. Metrc updates may not appear in POSaBIT immediately.
The tag cannot be selected in Metrc
Confirm that the tag order was marked " Received " in Metrc. Oregon Metrc documentation states that tags cannot be used until they have been received in the system.
The package appears in POSaBIT, but some fields are blank
Some package fields may still need to be completed in POSaBIT after the Metrc sync.
The old package is still showing in POSaBIT
Review the package records and confirm the correct package is active. If needed, update inventory usage so the replacement package is the one being used.
Best Practices
- Keep extra unused package tags on hand whenever possible
- Record the new package tag number internally when a replacement is made
- Double-check package quantity before completing the replacement
- Confirm the replacement package is active in both Metrc and POSaBIT before selling from it
